We work on a somewhat similar basis. We have the doc.-catalog with categories and such, but we don't do group editing. We try to do some quality to control ("the great reform" from shit and pointless smut
which is going moderately well), and have established persons who can edit it. Plus there's a lot of figs here who dick around, so it's best not to leave stuffs open.
