so maybe because of this "internal logistics issue", her involvement with that event is canceled, because she probably thought its a bad idea to do the collab and she probably did not know the holostarsen or other guys are a part of it at the beginning.
Furthermore, Flayon retweeted the weverseofficial post, but ina or her manager who is managing the account (proof in this tweet:

So, there is a possibility that ina is no longer part of the event.
Why is her name still a part of the post of weverseofficial? Good point, idk maybe there were some communication issue between the staffs and the info to remove her name did not reach to the designer or something.

I think this will be a VR event, and it's a company project, so they need to do the VR thingy in their office in japan.
But my point they are probably in the same VR room in the same day because the event is just 1 day.
